Perform collective archiving for a document
Portfolio Service Document Archive" module
You carry out the collective archiving of a document as follows:
- On the "Data maintenance" tab in the ribbon, select the COLLECT ARCHIVING command.
The "Collective archiving" workspace opens. - Drag and drop the desired depot objects or folders from the Explorer into the upper input field or search for the owners using the search icon to the right. Make sure that bearer and portfolio numbers are stored in the properties.
- Select the desired document type in the "Type" selection list if necessary. You configure document types using the server configuration tool.
- Select the file to be archived or the path to this file in the "File" input field (or via the selection icon to the right).
- In the "Name" field, the name of the file selected in the "File" field above is automatically displayed without the file extension.
- In the "Log" field at the bottom, you can select the path to a folder in which the log file of type *.csv is to be saved. In this file you will find information on the date, user and status ("ok" or error message) for each holder. The entry "exists" symbolizes that this document has already been archived in this version.
The default setting for the log file is the default log path and the file name archive.csv. - Once you have made all the settings, start collective archiving by clicking the "Archive" button.
The document is saved in the document archive for all selected owners. Exceptions are the owners for whom this document has already been archived with the same modification date.
If no owners have been selected, you have the option of archiving the document for all (authorized) owners. In this case, answer the security prompt that appears with "OK".
